CYCLE HIRE TERMS & CONDITIONS 2025

Bookings & Payments

All hire bookings need to be made online and in advance, so the hirer can read and agree to the terms and conditions, and we can ensure the cycles and accessories are ready for when they are due to be collected.

The hirer is required to create an account with their contact details when booking in case they request to make any changes later to their booking.

Full payment is required by credit/debit card at time of the online booking to secure the reservation. We cannot take cycle hire bookings payments in person or over the phone, but we can help you in store if needed.

We are a small team, so any walk-in requests for cycle hire will still need to be booked by the hirer online, and we will need at least 30 minutes to get the cycles ready.

Changes, Cancellations & Fees

Any requests for booking changes or cancelations need to be emailed to admin@getcycling.org.uk with your full name and booking ID.

You may cancel or change your booking free of charge until 48 hours before collecting your cycles. If you cancel within 48 hours, the cancellation fee will be 25% of the value of your booking.

If you do not cancel or change your booking and do not show up on the day of the booking, the cancellation fee will be the total price of the booking.

If you wish to postpone the booking to a future date in the same year (for example due to bad weather) the booking can be transferred at no cost subject to availability and providing that at least 24 hours’ notice is given.

All changes and cancellation deadlines are in Get Cycling’s time zone – GMT.

Collection & Return

The period of hire commences at the time of collection and is deemed to continue until the cycle and all the accessories are received by Get Cycling.

The hirer acknowledges and agrees that the cycle and accessories are in good condition in all respects and undertakes not to misuse it, and to return with all in the same condition as when received (ordinary wear and tear excepted) to Get Cycling and on the due date and time specified when booking.

The cycle let out on hire, including all accessories and attachments supplied remains the property of Get Cycling CIC, and the hirer will not sell, hire out, lend, or otherwise part with possession of the cycle and/or equipment provided.

Damage & Late Returns

The hirer agrees that the card used to make the booking can be charged in the event that the cycle and accessories are not returned on time, damaged, or not in full working order. Get Cycling shall be entitled to charge the hirer for all damage caused to the cycle during the period of hire.

In the case of cycle and/or accessories left or returned damaged, you are responsible for any costs incurred and sustained in replacing or repairing (whichever the cheaper) the items concerned to a condition equivalent to that prior to the hire.

Any damage other than those reasonably repairable by the Hirer. These should be reported to Get Cycling upon the return of the Cycle.

It is essential that the cycle and accessories are returned on-time as they may be booked out again by another customer.

Late return of the cycle and accessories will be charged at twice the published daily hire rate for each day/part day that the cycle is returned late. If the terms set out above are not complied with, Get Cycling reserve the right to charge reasonable charges until such time when cycle and accessories have been returned.

Breakdown

In the event of breakdown other than those of a type which the hirer can reasonably repair with the supplied kit (i.e. a puncture or un-seated chain), and other than as a result of the hirer’s misuse of the cycle, Get Cycling will be liable for the repair.

Get Cycling shall not be liable for any damage caused or loss made whatsoever by breakdown or other defects in the cycle or other circumstances beyond Get Cycling’s control.

Safety

The hirer confirms they are a proficient at cycling, they understand UK rules and regulations of cycling and road safety.

The hirer will ensure all children are supervised and ride safely. Child seats are recommended for children aged 9 months to 6 years, with a maximum weight of 22kg. Trailers are recommended for children aged 1 year upwards, with a maximum load of 45kg in total (not per child). While each child’s physical development is unique, the manufacturers recommend that a child should be able to sit upright unattended and hold his or her head up while wearing a bicycle helmet.

The minimum legal age for riders of electric cycles is 14.

Get Cycling recommend all riders wear helmets, which we will provide free of charge. The hirer will ensure that all riders do not use the cycle(s) under the influence of alcohol or drugs.

Security

When unattended the cycle must be secured inside a building or vehicle or locked to an immovable object with a lock that we have provided free of charge.

In the event of the cycle or accessories being lost or stolen Get Cycling reserves the right to call upon the hirer to compensate Get Cycling the replacement value of the cycle and accessories. However, should the cycle subsequently be recovered in a usable condition, Get Cycling undertakes to refund the hirer’s compensation in full within fourteen days.

Agreement

The hirer will immediately notify Get Cycling on 01904 636 812 in the event of breakdown, damage, or loss of the cycle or accessories.

If the hirer shall commit any breach of the terms of this agreement Get Cycling shall be entitled, but without prejudice, to any other rights or remedies which it may have to terminate the hire of the cycle and accessories, and recover possession thereof without notice, and to make reasonable charge for such repossession. No rights of Get Cycling under the agreement will be waived except in writing by a duly authorised member of staff.

All the terms and conditions above need to be agreed when booking in advance online before a cycle hire reservation can be made.
